In-Person Conference Registration Pricing

Early Bird registration for the 2025 HCBS Conference opens on May 12, 2025, and closes at midnight on June 30, 2025, ET. Starting July 1, 2025, all rates will increase by $100. In-person attendees will have full access to HCBS Conference sessions, breakfast and lunch, networking activities, and our conference app. In-person attendees are also invited to join us for our annual HCBS Conference Dance Party on August 26, 2025.

ADvancing States members in executive leadership positions will receive a member-only invitation to events Sunday - Tuesday.

Please note: In-person registration for the 2025 HCBS Conference will be limited. If you would like to attend in person, please register as soon as possible.

Cancellation Policy

We hate to see you go!

Cancellations: We understand that events may occur that prevent you from attending. If you are unable to attend the 2025 HCBS Conference in person, you may:

Switch to Virtual Attendance

If you are unable to attend the conference in person, your registration may be converted to virtual attendance. To receive a refund for the difference in registration fees, all conversion requests must be submitted by August 1, 2025. After this date, conversions to virtual attendance will still be accepted; however, no refund will be issued. To modify your registration or for any related inquiries, please contact inform@hcbsconference.org. 

Send a Substitute

If you are no longer able to attend the conference, your registration may be transferred to another individual for a $50 administrative fee. To request a substitution, please contact inform@hcbsconference.org. Substitutions will be transferred at the same rate as the original registration. Substitutions can be made up to the deadline of August 18, 2025, or at the on-site registration desk. Payment must be made at the time of processing.

Request a Refund

We are happy to accommodate a refund for your registration fee if you are unable to find a substitute prior to the deadline. Cancellation requests must be submitted in writing via email to inform@hcbsconference.org. Refunds for cancellations received on or before August 1, 2025, will be issued, deducting only a 20% cancellation fee from the total registration cost. Regrettably, no refunds will be granted for cancellations received after August 1, 2025.
