When is the virtual conference?

The virtual conference will take place on September 17-18, 2025.

Is the registration rate the same for virtual and in-person conference attendees?

The registration rate for virtual attendance is different from the in-person rate. The virtual registration fee is $600 for all attendees.

If I register for the virtual conference, am I able to switch to in-person attendance?

Attendees may switch from virtual to in-person attendance, pending availability. Requests submitted on or before August 1, 2025, will be required to pay the difference in registration fees at the time of the request. For questions or to request a change, please contact inform@hcbsconference.org

What are the perks of the virtual conference?

The virtual HCBS Conference offers a complete and engaging experience for attendees joining remotely. Enjoy the flexibility and comfort of remote participation while staying connected to the content and community that make this event so impactful. Virtual participants will have access to over 190 sessions, opportunities to network with 1,500+ attendees, and the chance to explore our interactive virtual exhibit hall featuring leading sponsors and exhibitors—all from the comfort of their own space. 

Will I receive a goodie box this year?

ADvancing States will no longer be providing goodie boxes to virtual attendees. The conference rate for virtual attendees reflects this change.

Will I receive GrubHub for the conference days?

ADvancing States will no longer be providing GrubHub to virtual attendees. The conference rate for virtual attendees reflects this change.

Am I required to stay logged in for the entire day during the virtual conference?

While a daily agenda will be available to help guide your experience, virtual attendees have the flexibility to view any sessions of interest at their convenience. 

If I can no longer attend the virtual conference, what is the process?

What online tools do I need for the virtual conference?

Attendees will need a computer with internet access. Having a webcam/microphone is optional.

Am I able to attend two sessions scheduled at the same time?

During the conference, attendees will be able to view one live session at its scheduled time. Following the event, all sessions will be available on demand, providing the opportunity to view any content that may have been missed. 

How long will I have access to the virtual sessions?

Virtual attendees will have access to the 2025 HCBS Conference platform on EventsAir for one month following the event. After that period, session recordings will be available through the ADvancing States IQ website

Are the presentations live?

All presentations are pre-recorded to ensure a seamless viewing experience. During the scheduled session time, speakers will be available in the chat to engage with virtual attendees and answer questions in real-time, providing a dynamic and interactive experience. 

How do I access the virtual conference?

A logistics email will be sent to all attendees with access details and login instructions for the virtual conference platform. Please note that the platform will only be available from September 17 - October 17, 2025.

Can I share my virtual conference login information?

The EventsAir platform does not support shared login credentials. Each attendee must complete their own registration to access the virtual conference.
